Postworks introduces a completely paperless solution for office post
This article was originally published during the Coronavirus lockdown period and reflects the service and planned integrations announced at the time.
New product enables companies to become fully paperless
Postworks Receive™ turns scanned letters into smart digital documents
Online post specialist Postworks introduced a new service alongside its digital outbound post solution, giving businesses a new way to manage the online mailroom.
Postworks Receive™ scans and digitises inbound mail, providing a paperless solution designed to be accessible to businesses regardless of their size.
A digital mailroom service built around customer needs
James Booker, Founder and CSO at Postworks, said:
“We are always looking for ways that we can make post easier. Postworks Receive™ was requested by our customers and the lockdown catapulted us into action to deliver a solution for them.
While companies work out what the office looks like moving forward, we can take away the requirement for them to handle post, whatever they decide in the future.”
During lockdown, somebody still had to visit the office to collect and distribute incoming post.
With local restrictions and more people working from home, correspondence could take much longer to reach the right person. That created another problem for businesses already trying to manage teams across different locations.
How Postworks Receive scans and distributes inbound post
The Postworks Receive™ service opens and scans business post on the same day it is received, then makes it available online through the PostworksHUB.
Letters can be assigned to an individual or a group of users, much like distributing post around a traditional office.
This gives teams a way to access incoming correspondence without waiting for somebody to collect it, scan it manually or send it around by email.
The process can also help organisations managing post sent to an office or registered office address, particularly when the people responsible for it work elsewhere.
Turning scanned letters into smart digital documents
Postworks Receive™ takes the posted page full circle, returning a physical piece of paper to a digital format.
Using optical character recognition technology, commonly known as OCR, the service turns scanned paper documents into editable and searchable data.
That means teams can search the content of their inbound post rather than relying on image files with no searchable text.
At the time of the original announcement, an integration with Virtual Cabinet document management software was also being prepared for release.
The planned integration was intended to make scanned post easier to move into the document management systems businesses already used.
Making inbound post scanning accessible to more businesses
A Postworks spokesperson said:
“Traditionally, inbound post solutions have not been available or accessible to the everyday business because the cost of the service rockets into the thousands and contracts are lengthy.”
Postworks Receive™ was introduced as a more accessible option for businesses that wanted to digitise their office post without building their own scanning and distribution process.
Marvee-Lisa Booker, Founder and CEO at Postworks, said:
“We have kept our vision at the forefront, to make post easy, and Postworks Receive™ is no different. Every business that has had a demo of the solution has been very excited at how easy it is.”
Founded in 2016 by James and Marvee-Lisa Booker, Postworks began trading in 2017 with its mission to be a pleasure to do business with.
Postworks provides businesses with a software-based alternative to managing franked business post and physical office mail processes.
