Fortis Insolvency Limited

From sticky labels and franking ink to drag and drop creditor post

Fortis Insolvency Limited is a specialist insolvency practice that helps individuals and companies with debt restructuring and formal insolvency matters. With around twenty people working across two sites, the team was losing time and money to manual printing, photocopying, sticky labels, and a franking machine, all while working to strict statutory deadlines. By moving creditor circulars and letters to Postworks, Fortis now sends professional, individually addressed post in a few clicks, without walking to the Post Office in the rain.

The Challenge

Manual mailing delays threatened strict notice periods

Fortis deals with creditor circulars where delays have real consequences. Insolvency rules require strict notice periods and certificates of delivery, with first class post deemed delivered two business days after sending. Missing an internal three o’clock cut off meant waiting until the next day, which pushed hard against statutory deadlines.

Before Postworks, everything ran through a franking machine. Big cases with several hundred creditors meant long photocopying runs, generic cover letters and sticky address labels. Ink ran out mid circular, cartridges were expensive and someone had to spend around half an hour a day franking and walking mail to the local Post Office. It all felt outdated in a world where the rest of the work was already digital.

The Turning Point

Introducing an outsourced, integrated hybrid mail system

The turning point came at an IPS User Group meeting in London where Postworks presented alongside Fortis’ core software providers. Seeing an outsourced post solution that integrated with familiar tools was a lightbulb moment. The team realised they did not have to choose between stamps and the franking machine after all. Within forty eight hours they had contacted Postworks, built a business case and secured director approval. Setup was fast and felt refreshingly straightforward.

Fortis started with a simple test circular, sending letters to Julie and the Managing Director to see exactly what landed on the mat. Once those arrived, any remaining concerns disappeared. Letterheads were configured within minutes and new document templates were built to match the Postworks layout. Today there are hundreds of templates across two systems, all designed to work first time with Postworks, with attachments added in a click rather than manually collated for every creditor.

“Because Postworks sends our letters with the right attachments and reply envelopes automatically added, we never miss a thing. It’s been a huge help for compliance and data protection”
